Question 1

Is SyncStock.ai a Shopify app or a standalone tool?

Accepted Answer

SyncStock.ai is a Shopify embedded app installed directly from the Shopify App Store. Everything runs inside your Shopify adminno separate logins, no external dashboards. The app integrates with Shopify's OAuth for secure authentication and reads your products, variants, SKUs, barcodes, and inventory locations in realtime. This means your data never leaves the Shopify ecosystem, and updates sync directly to your live store (after your approval, of course).

Question 2

How do I install SyncStock.ai?

Accepted Answer

Installing SyncStock.ai takes under 2 minutes: 1. Visit the Shopify App Store and search for "SyncStock.ai" 2. Click "Install" and authorize the app to access your store 3. Follow the onboarding wizard to set up your AI inbox email address 4. Forward your first vendor invoice or upload a test document 5. Review the AI matches and push to Shopify No credit card required for the free plan. You can process 3 invoice pages immediately to test the system.

Question 3

What happens during the free trial?

Accepted Answer

The Free plan ($0/month) includes: 3 invoice pages per month (perfect for testing with 12 real invoices) 3 AI rewrites (for product titles/descriptions) 1 AIgenerated image Starter file storage Full access to barcodefirst matching, catalog uploads, and human approval gates No credit card required, no automatic charges. Upgrade anytime if you need more capacity.

Question 4

What file types do you support?

Accepted Answer

SyncStock.ai supports the most common formats vendors use: PDF invoices & receipts (digital or scanned) JPG/PNG images (phone photos, scanned receipts, handwritten notes) Excel workbooks (XLS, XLSX) CSV files (price lists, catalogs) Our AI reads text from images using OCR, so even scanned PDFs or phone photos work perfectly. No need to ask vendors to change formatswe handle what they already send.

Question 5

Can SyncStock.ai read handwritten invoices or messy scans?

Accepted Answer

Yes. SyncStock's generalpurpose AI includes OCR (optical character recognition) to extract text from images. This means: Handwritten receipts from small vendors Scanned paper invoices where text is embedded as an image Phone photos of packing slips Lowquality faxed documents The AI understands invoice structure (headers, line items, totals) regardless of layout quality. Accuracy is lower on extremely messy handwriting, but typical handwritten receipts process at 8590% line item accuracy.

Question 6

How do I send documents to SyncStock.ai?

Accepted Answer

Two ways: 1. Email forwarding (recommended): Each Shopify store gets a dedicated AI inbox (e.g., yourstore@syncstock.ai). Have vendors email invoices and catalogs to that address, or forward them yourself. SyncStock autoqueues all attachments and starts processing within seconds. The inbox refreshes every 30 seconds, so you see new files almost instantly. 2. Manual upload: Click "Upload document for AI processing" from the dashboard or Pending page. Choose PDF, image, Excel, or CSV files. The upload modal autodetects whether the file is an invoice or catalog based on file extension and content. Assign an optional vendor name for better tracking.

Question 7

Do I need to give suppliers access to Shopify?

Accepted Answer

No. Vendors never touch your Shopify store. They email invoices to your AI inbox (or you forward them), and SyncStock processes everything behind the scenes. This keeps your Shopify data secure and avoids onboarding headaches for suppliers.

Question 8

Can I reprocess files later?

Accepted Answer

Yes. Every file you upload or receive via email is stored permanently in the Files drive (located in the app). You can: Search files by vendor, sender, date, or filename Preview PDFs and images directly in the app Download files anytime for audits or reprocessing Reupload files to trigger a fresh AI parse if needed Files never autodelete, so you have a complete audit trail for accounting and compliance.

Question 9

How accurate is the AI matching?

Accepted Answer

95%+ automatch rate when invoices include barcodes and/or you've uploaded supplier catalogs. Here's the breakdown: Invoices with barcodes: 98% automatch rate (barcodefirst matching is extremely reliable) Invoices without barcodes + uploaded catalogs: 95% automatch rate (catalog memory maps supplier names/SKUs to barcodes) Invoices without barcodes + no catalogs: 6070% automatch rate (fuzzy text matching only, lower confidence) Best practice: Upload supplier catalogs (Excel/CSV price lists) for any vendors who send barcodefree invoices. This boosts accuracy dramatically.

Question 10

What is "barcode-first matching"?

Accepted Answer

SyncStock prioritizes matching in this order: 1. Barcode match: If the invoice line includes a UPC/EAN/GTIN and a Shopify variant has the same barcode → instant match (99%+ confidence) 2. Catalog + barcode match: If no barcode on invoice, check uploaded catalogs for supplier SKU/name → retrieve catalog barcode → match to Shopify variant 3. SKU/vendor code match: Match supplier SKU to Shopify SKU or vendor code fields 4. Fuzzy text match: Use AI to compare product names, brands, and descriptions (lower confidence, requires manual review) Barcode matching is the most accurate method because barcodes are globally unique. Text matching is prone to typos and name variations, so we use it as a fallback.

Question 11

What happens when the AI can't find a match?

Accepted Answer

Lines that don't automatch appear in the "Needs manual review" tab. Each unmatched line shows: Reason badge explaining why it failed (e.g., "Missing barcode," "New product," "Low confidence match") Invoice data (product name, supplier SKU, barcode, quantity, price) Catalog context (if available) showing supplier's catalog description and SKU Shopify suggestions (if the AI found possible matches with <80% confidence) Manual search panel with a button to search your Shopify catalog or create a new product You can: 1. Search Shopify and manually assign a variant 2. Create a new product from the invoice line 3. Edit the invoice line data if it's incorrect 4. Mark "Do not import" if the line should be skipped

Question 12

How does catalog memory work?

Accepted Answer

Upload your supplier's catalog (Excel/CSV price list) via the Catalogs page. SyncStock parses the catalog and stores mappings like: Supplier SKU: ALHARA0B0146 Product name: Al Haramain Amber Oud Bleu 3.4 oz EDP Barcode: 6291100130146 When a future invoice arrives with SKU ALHARA0B0146 but no barcode, SyncStock: 1. Looks up the SKU in the catalog 2. Retrieves the barcode (6291100130146) 3. Matches the barcode to your Shopify variant This is exact name matching between invoice and catalognot fuzzy text guessing. Accuracy is 95%+ because we're comparing structured data (SKUs and barcodes), not product name variations.

Question 13

Does SyncStock use fuzzy text matching or exact matching?

Accepted Answer

Both, depending on the scenario: Exact matching: Used for barcodes, SKUs, and catalog lookups. These are exact string or number comparisons. Not fuzzy matching for catalogs: When comparing invoice names to catalog names, we use exact name matching on the catalog entries. The AI doesn't guessit looks for the exact supplier name you've uploaded. Fuzzy text matching: Only used as a last resort when barcodes, SKUs, and catalog memory fail. The AI compares product names, brands, and descriptions to find possible matches, but these show lower confidence scores and require manual review. Key difference from competitors: Most tools rely heavily on fuzzy text matching, which leads to incorrect matches (e.g., "Blue Shirt" matching to "Blue Shoes"). SyncStock avoids this by prioritizing exact barcode and catalog matching.

Question 14

Will AI change anything in Shopify without my approval?

Accepted Answer

No. Never. SyncStock includes human approval gates at every critical step: AI proposes matches, but nothing syncs to Shopify until you click "Push inventory updates" Product creation wizards require you to review and confirm before publishing Manual overrides are always available if you disagree with an AI suggestion Every action is logged in the activity trail for auditability The entire philosophy is honest automation: AI handles repetitive data entry, humans handle judgment calls.

Question 15

Can I create new Shopify products from invoice data?

Accepted Answer

Yes. From any unmatched invoice line, click "Search Shopify catalog / Create New Products" to launch the product creation wizard. The wizard includes: Step 1: Product Details Prefilled title, SKU, barcode, and cost from invoice/catalog data AI Rewrite button to generate SEOfriendly titles and descriptions using real invoice context Brand, category, and tags fields Step 2: Images AI Photo Generation with style presets (white background, lifestyle, studio lighting) Web image search to find reference photos Manual upload for your own images Multiple images per product Step 3: Variant Details Price, compareat price, cost (prefilled from invoice) SKU, barcode, inventory policy (track quantity, continue selling when out of stock) Variant options (size, color, material, etc.) Tax and inventory tracking toggles Step 4: Metafields (optional) Custom metafields for compliance data (lot numbers, expiration dates, certifications) Step 5: Review & Publish Summary of all product data Publish as draft or live After creation, SyncStock reruns matching automatically Product creation drops from 1015 minutes (manual) to under 2 minutes (with AI assistance).

Question 16

How does AI product rewriting work?

Accepted Answer

Click "AI Rewrite" in the product creation wizard. SyncStock sends your invoice context (product name, brand, supplier description) to a language model that generates: SEOfriendly product title (includes brand, key features, size/quantity) Detailed product description (benefits, use cases, target audience) Bullet points for key features The AI understands ecommerce copywriting best practices (keyword placement, readability, persuasive language). You can regenerate multiple times until you're happy with the result. Edits are always allowedAI provides the starting point, you have final control.

Question 17

How does AI photo generation work?

Accepted Answer

Click "Generate AI Photo" in the product creation wizard. Choose a style preset: White background (clean product shot, studio lighting) Lifestyle (product in use, contextual setting) Studio (professional photography aesthetic) Optionally upload a reference image (e.g., a blurry supplier photo) to guide the AI. The AI generates a highquality product image optimized for ecommerce listings. You can generate multiple variations and pick the best one. Important: AIgenerated photos should accurately represent the product. Use them for placeholder images or inspiration, but always verify accuracy before publishing to customers.

Question 18

Can I create variants from an existing product?

Accepted Answer

Yes. If an invoice line doesn't match any variant but matches a product, click "Create variant" instead of "Create product." The variant creation wizard is similar to the product wizard but focuses on variantspecific fields: Variant options (size, color, material, etc.) SKU, barcode, price, cost Inventory policy After creation, the new variant is automatically matched to the invoice line.

Question 19

How do multi-location inventory updates work?

Accepted Answer

Before pushing inventory updates, you choose a Shopify location from the dropdown (e.g., "Warehouse A," "Retail Store 1," "Fulfillment Center"). When you click "Push inventory updates," SyncStock: 1. Updates inventory quantities only at the selected location 2. Updates cost per item (if enabled in settings) 3. Optionally updates prices (if configured) 4. Logs the update in the activity trail This prevents accidental crosslocation contamination. If you have 5 retail stores and 2 warehouses, each invoice can target a specific location.

Question 20

Can I update inventory at multiple locations from one invoice?

Accepted Answer

Not from a single push action. Each invoice push targets one location. If a shipment goes to multiple locations, you would: 1. Create separate invoices per location (ask supplier to split), or 2. Push to location A, then manually adjust quantities for location B in Shopify Multilocation split pushes are on the roadmap for future releases.

Question 21

Does SyncStock update product prices or just inventory?

Accepted Answer

SyncStock can update: Inventory quantities (always) Cost per item (enabled by default, can be disabled in settings) Product prices (optional, disabled by default to prevent accidental price changes) Before pushing, you see a summary of what will change. If cost or price shifts are dramatic (e.g., 30%+ increase), SyncStock flags them for doublechecking.

Question 22

What happens if I push the same invoice twice?

Accepted Answer

SyncStock doesn't prevent duplicate pushesit's up to you to track which invoices you've processed. If you push the same invoice twice: Inventory quantities will be added twice (not replaced), leading to incorrect stock levels Cost updates will overwrite the previous values Best practice: Mark processed invoices as "Done" or use the activity log to check if an invoice has already been pushed. Duplicate detection is on the roadmap.

Question 23

Can I still manage inventory manually in Shopify?

Accepted Answer

Yes. SyncStock runs alongside existing workflows. You can: Use Shopify's native inventory management tools anytime Manually adjust stock levels, costs, and prices in Shopify admin Process invoices through SyncStock while also doing manual updates SyncStock doesn't lock you into automationit's an optional layer that reduces manual work.

Question 24

What is a catalog and why should I upload one?

Accepted Answer

A catalog is your supplier's price list (Excel, CSV, or PDF) that lists all products they sell with SKUs, names, barcodes, and prices. Uploading catalogs to SyncStock: 1. Boosts matching accuracy from 6070% (textonly) to 95%+ (catalog memory) 2. Fills in missing barcodes when invoices don't include them 3. Standardizes supplier names so "Amb Oud Blu 100ml" always maps to the correct Shopify variant 4. Speeds up invoice processing because the AI doesn't guessit looks up exact mappings Example: Your beauty supplier sends a quarterly catalog with 500 products. Upload it once. For the next 3 months, every invoice from that supplier benefits from catalog memory, even if invoices are barcodefree.

Question 25

How do I upload a catalog?

Accepted Answer

From the Catalogs page in the app: 1. Click "Upload catalog" 2. Select Excel (XLS/XLSX) or CSV file (PDFs supported but less reliable) 3. Assign the vendor name (must match the vendor name you use on invoices) 4. SyncStock parses the catalog and stores mappings (SKU → name → barcode) 5. Enable the catalog to activate it for matching Catalogs can be updated or replaced anytime (e.g., when suppliers refresh price lists).

Question 26

Can I have multiple catalogs for the same vendor?

Accepted Answer

Not currently. Each vendor has one active catalog. If you upload a new catalog for the same vendor, it replaces the old one. Multicatalog support (e.g., different catalogs per product category) is on the roadmap.

Question 27

What if my supplier doesn't provide a catalog?

Accepted Answer

If no catalog is available, SyncStock falls back to: 1. Barcodefirst matching (if invoices include barcodes) 2. SKU matching (if your Shopify products use the supplier's SKUs) 3. Fuzzy text matching (lower accuracy, requires more manual review) Accuracy will be lower (6070% automatch) without catalogs, but the system still works. You'll spend more time on manual review.

Question 28

How secure is my data?

Accepted Answer

SyncStock follows industrystandard security practices: Data encryption in transit (TLS 1.2+) for all API calls and file uploads Data encryption at rest for stored files and database records Shopify OAuth for authentication (we never see your Shopify password) Data minimization: We only request Shopify permissions we need (products, inventory, files) No thirdparty sharing: Your data is never sold or shared with advertisers or partners SOC 2 Type II compliance in progress (expected Q2 2024) See the Security page for full details, including compliance frameworks and data handling policies.

Question 29

Where is my data stored?

Accepted Answer

SyncStock uses cloud infrastructure hosted on: AWS (Amazon Web Services) for file storage (S3) and databases (RDS) US East region (useast1) with automatic backups to US West for redundancy GDPRcompliant configurations for EU customers (data residency options available on Enterprise plans) All data is encrypted at rest using AES256. Question 31

Do you train AI models on my data?

Accepted Answer

No. Your invoices, catalogs, and Shopify data are never used to train AI models or shared with third parties. We use thirdparty AI APIs (e.g., OpenAI, Anthropic) for parsing and content generation, but: API providers don't train on your data (per their enterprise agreements) Data is sent only for realtime inference, not storage or training We anonymize data before sending to AI APIs when possible

Question 32

What happens when I reach my monthly limits?

Accepted Answer

When you approach the included monthly amounts, you'll see notifications in the app. When an action would cost extra: Work that would create extra usage pauses if no additional usage ceiling is approved If a usage ceiling is approved in Shopify, only actual usage beyond the included amount creates usage charges Existing invoices remain accessible for review and editing Your catalog learning and file storage persist; nothing is deleted No surprise charges. Additional usage is capped by the amount the merchant approves in Shopify.

Question 33

Does SyncStock charge outside Shopify?

Accepted Answer

No. SyncStock uses the Shopify Billing API for app subscription and usage charges. App charges appear on the merchant's Shopify bill.

Question 34

Is there an annual plan?

Question 36

Can I use SyncStock.ai with multiple Shopify stores?

Accepted Answer

Multistore management is on the roadmap. Today, each Shopify store installs its own app instance and has its own pricing plan. If you have 3 stores, you'd install SyncStock 3 times and pay separately for each. Collaboration features on the roadmap: Activity log showing who pushed which invoice Comments and notes on invoice lines Multiuser approval workflows (e.g., manager approval for cost changes)

Question 39

How long does it take to process an invoice?

Accepted Answer

AI processing time: 30 seconds to 3 minutes, depending on invoice length and page count. Multipage PDFs take longer because each page is parsed separately. Human review time (typical): 95%+ automatched invoices: 35 minutes (quick review, minimal manual search) 8094% automatched invoices: 510 minutes (some manual search and assignment) <80% automatched invoices: 1020 minutes (significant manual work, consider uploading supplier catalog) Best practice: Let AI processing finish before starting review. The dashboard shows "AI processing page 2 of 3" status badges so you know when it's ready.

Question 40

Can I edit invoice data after AI processing?

Accepted Answer

Yes. Every invoice line has an "Edit invoice line" link that opens a modal where you can fix: Product name Supplier SKU/code Barcode Quantity Unit price After editing, SyncStock reruns matching automatically to see if the corrected data improves match confidence.

Question 41

Can I add missing invoice lines?

Accepted Answer

Yes. Click "Add missing invoice line" from the invoice review screen. Fill in product name (required), and optionally SKU, barcode, quantity, and price.
